We process personal data in order to provide our visitors and business relations with the best possible service and handle this data with care. This privacy statement explains how we handle personal data. We reserve the right to amend this privacy statement.

The organization responsible for processing your personal data is Stichting Music Meeting, located at Mariënburg 75, 6511 PS, registered with the Chamber of Commerce under number 41056900. 

b. Processed personal data and purposes

When you visit the festival, purchase tickets via the ticket shop, subscribe to the newsletter, or contact us in any other way, we may process the following personal data:

  • Identification details: Name, date of birth, address, place of residence, country.
  • Contact details: Phone number, email address.
  • Payment and transaction details: Details about purchased tickets, donations, discounts applied (e.g., CJP, early bird discount), amounts paid, and the transaction date.
  • Interest data: Visit history, interests
  • Other information: Contact history, appointments, comments about the nature of the relationship.

This data is processed for the following purposes:

  • Handling ticket orders, reservations, donations, and other (online) activities.
  • Communication about your visit, reservation, or other activities.
  • Providing information about our activities via email and social media.
  • Invitations to events.
  • Answering questions and handling complaints.
  • Analysis and improvement of our services and communication (anonymized where possible).

The processing of personal data takes place on the basis of:

  • Consent: for example, for the newsletter, cookies, or publication of images.
  • Agreement: for the execution of a purchase or reservation or visit to the festival.
  • Legal obligation: for example, tax retention obligation for payment transaction data.
  • Legitimate interest: such as website analytics.
c. specific processing operations


ticket sales
Tickets for Music Meeting can be ordered online via our website or via our ticket provider "Ik ben Aanwezig." The processing of personal data in this context is carried out by Music Meeting as the controller (Article 26 GDPR) and by Ik ben Aanwezig as the processor. Photo and video material
Visual material may be used to convey the atmosphere or report on the festival and other Music Meeting activities. This falls under the journalistic exception as described in the GDPR.

Visitors should be aware that image and/or sound recordings may be made during events. Music Meeting reserves the right to use these recordings for atmospheric impressions, reporting, and promotional purposes, within the framework of the GDPR and the journalistic exception.

Photographs and video recordings of children
Music Meeting reserves the right to publish photographs and recordings made during educational activities and family programs to promote its activities. Where possible, children will be depicted in such a way that they cannot be recognized. Parents and teachers are allowed to take photos and are responsible for following the school's privacy policy with regard to publishing their own photos online.

Website visits, online services, and marketing
We keep visitors and contacts who have provided us with their email address and given their consent, or who have not objected to receiving our communications, informed about Music Meeting activities, for example by email or social media. In addition, we use the opportunities offered by social media platforms to target advertising, such as LinkedIn and Meta custom audiences. This enables us to spend our advertising budget more efficiently.

Newsletter
We collect subscriptions to our newsletter via our website and social media channels. Only your email address is required to receive our newsletter. We also ask for your name on a voluntary basis. We use the Mailchimp system for the newsletter. Your personal data will only be stored in Mailchimp for as long as you are subscribed to the newsletter.

Music Meeting uses cookies on its website to collect information. A cookie is a small text file that is stored on your computer, tablet, or smartphone when you first visit this website. The Music Meeting website uses the following types of cookies:

Functional cookies: these cookies are necessary for the technical operation of the website and your ease of use and do not invade your privacy.

Analytical cookies: these allow us to analyze the use of our website with the aim of optimizing it. We use Google Analytics for this purpose. These cookies are not linked to other data that Google has about you.

Friends of Music Meeting and Telecommunications Act
Friends of Music Meeting make voluntary financial contributions to support the festival and its programming, and to ensure the festival's continued existence. We operate within the legal framework of the Telecommunications Act and the General Data Protection Regulation. We only call people who have given their consent or with whom we have a customer relationship. When registering data, we always inform people that we may use their telephone number for telemarketing purposes. We are permitted to contact our visitors by telephone for up to three years, unless they have opted out.

If you no longer wish to receive calls from us, we will update our records and will no longer contact you. You can do this by sending an email to: seeyou@musicmeeting.nl. You can also use this email address to ask us when and how you gave your consent for telemarketing.

Ticket sales, reservations, and rentals
When purchasing tickets or making reservations, personal data is processed in order to process the request. The same set of data as mentioned in point B is used for this purpose.

Relationships, sponsors, and patrons
Personal data relating to press contacts, suppliers, sponsors, patrons, and other contacts is processed for communication and administrative purposes. The same set of data as mentioned under point b is used for this purpose.


interest profiles
Based on interactions and information provided, we can create interest profiles. This enables us to improve our services and communication and to provide more relevant information and offers.

d. retention periods

Personal data will not be retained longer than necessary for the purposes for which it was collected, subject to statutory retention periods.

Personal data recorded for the sale of festival tickets or other Music Meeting activities will not be stored for longer than necessary. We can then only use the anonymized data for statistical purposes, without it being traceable back to you as a person.

For the purpose of managing relationships with sponsors, patrons, friends, and the Education Department with schools, we retain the data for as long as the relationship with them continues. After that, the data is anonymized and only used for statistical purposes, without being traceable to any individual.

Data for which consent has been given will be retained until such consent is withdrawn.

e. rights of data subjects

As a data subject, you have the right to access your personal data, the right to request that we correct or delete your personal data, and the right to data portability. In addition, under certain circumstances, you may request that we restrict the processing of your data and you may object to processing based on our legitimate interest. If you have given your consent to the processing of personal data by us, you have the right to withdraw this consent at any time.

Finally, you have the right to lodge a complaint with the Dutch Data Protection Authority.

f. protection of personal data

We take physical, technical, and organizational measures to protect personal data. Data entered online is sent in encrypted form. Data processing takes place within the European Union or under appropriate safeguards when transferred outside the EU. We enter into processing agreements with suppliers. Our employees are contractually obliged to respect the confidentiality of your data.
